First Paragraph: State the reason for writing. Name the specific position or type of work for which you are applying. Mention how you learned of the opening (who referred you, if you met the recruiter at a job fair, or found a posting on the company website, etc.). Be brief but original.

Second Paragraph: Explain why you are interested in working for this employer and specify how you are perfect for this position. Do not repeat the information on your resume, but expand on it. Include something special or unique about yourself that would ?benefit? the employer. Do not make generic statements, But be specific about your skills/experiences/passions are a ?fit? with this organization or company. Also, remember that the reader will consider this an example of your writing skill.

Third Paragraph: Indicate your desire to meet with the employer. You may want to suggest alternate dates and times, or simply advise them of your flexibility to the time and place. Include day and evening contact information. Include a statement or question that will encourage the reader to respond. Be sure to communicate your plan to follow-up. You might state that you will be in the area on a certain date and would like to set up a meeting, or you will call on a certain date to set up a meeting. Never leave it up to the employer to get in touch with you. Finally, thank the employer for their time.

  • Never address the letter ?To Whom it May Concern? or ?Dear Sir or Madam.? Find out their name. If this is not possible, use ?Dear Prospective Employer.?
  • Do research about the company before writing your cover letter. This will give you additional information about the employer and can often identify other types of positions open.
  • Make sure you find out the company?s Mission Statement. This will allow you to pin-point qualities the company is looking for in an employee, and you can match them to qualities you have.
  • If you wish to seek help in your writing, enlist the aid of someone. Have a friend, relative, or career counselor help you compose your letter.
  • If you need additional help or ideas, advice can be found on the internet (see Internet Resource Section)
  • Remember: A successful cover highlights and enhances the information on your resume, and targets it toward the prospective employer.
  • THE ENTIRE GOAL OF A COVER LETTER IS TO GET AN INTERVIEW. Make the employer want to meet you instead of someone else.

Types of Cover Letters

Letter of Application:

Used when you are applying for a specific job, which is currently available.

Letter of Inquiry:

Used when you are inquiring whether or not an employer has a job opening available which would utilize your skills

Be Aware that the Process Doesn?t Stop? With the Cover Letter and Resume!

  1. Follow-up letters: After a job interview, send a Follow-up, or Thank you, letter addressed to the person(s) who interviewed you. Thank each interviewer, express your interesting, express your interest in the position, and include any additional relevant information that you may have overlooked during the interview. Send the letter within 24 hours of the interview. This is good practice, and helps the interviewer(s) to remember you for that particular position.
  2. Acceptance Letters: When you are offered a position and you decide to accept, send a letter of acceptance to the company. Address this letter to either your future supervisor or the personal officer who offered the position. Let the employer know when you can begin, and that you are looking forward to joining the company or organization.
  3. Declining Letters: If offered a position and you plan not to accept it, let the employer know. Thank him or her for the offering you a position. You don?t have to give details on why you are declining the position.
